If you change the ledger account or VAT code on a line, Kasklaar remembers that, but not immediately and not as an instruction. A correction is only remembered on approval; enough remembered choices become a suggestion; and a suggestion becomes an instruction only once you accept it. So a one-off slip can never quietly turn into an instruction.
Nothing, except that your choice on that line stays. If you pick a different account and Kasklaar then processes the invoice again, for example after a supplier switch, your account stays on that line. No instruction and no suggestion is created.
On approval, Kasklaar records per line which account and VAT code you chose, for which supplier and for which kind of expense. A change by you counts more than a proposal you approved unchanged. Lines that were already filled by an instruction do not count: there is nothing to learn there. What is already booked in your accounting package counts as well, so your agents do not start from zero.
After a number of approved invoices, Kasklaar checks whether there is a pattern in what you approved: the same account for the same kind of expense, across several suppliers, time and again. Your agents then propose an instruction for it. The result is a suggestion under Settings, Administration, Instructions, with "Based on X of N invoices" and the label Agent observed. How to review it is in Suggestions from your agents.
Twenty corrections at the same supplier therefore do not produce a suggestion; for that you create an instruction yourself with the condition Supplier is.
Once you accept the suggestion, it sits among your instructions with the label Agent learned. Otherwise it is the same instruction as one you wrote yourself: you can edit, disable and delete it, and in a clash the origin does not win but the place does: an instruction from your administration outranks one from your company or your accountancy firm.
Because a single correction can be a slip, or an exception. An instruction that arises after one time then books every similar invoice wrongly, without you noticing. That is why Kasklaar requires repetition across several suppliers and leaves the decision with you.
What does change the future: changing a value and approving, accepting a suggestion, and writing an instruction yourself.
How far back does Kasklaar look? One year. Older choices no longer count.
Does my accountant see my corrections? The firm sees the same invoice and the same suggestions. Instructions from the firm apply to all its clients; those from your administration only to you, and they come first.
Your agents got it wrong. Tell us, every time. Click the speech bubble at the top right of the invoice, Give feedback, and describe what went wrong; we look at it and use it to improve processing. Correct the invoice yourself as well, so it is right straight away.
