Every purchase invoice takes the same route through Kasklaar. It comes in, your agents turn it into a booking proposal, you check that and approve it, and Kasklaar posts the invoice to your accounting system.
You upload a PDF, a photo or an e-invoice, you forward the email with the invoice, or you receive it through Peppol. How that works is in Add a purchase invoice.
Your agents read the invoice, look up the supplier in your administration, put a GL account and a VAT code on every line, and match the bank transaction if they find one. Whatever you recorded earlier as an instruction, they apply. Wherever they are unsure, they leave a notice for you.
You go through the proposal and approve it. After that the invoice goes to your accounting system. What to check is in Review and approve a purchase invoice.
On Purchase invoices, the tab tells you where an invoice is.
| Tab | What is there |
|---|---|
| Needs attention | Waiting for your review or approval |
| Processing | Your agents are building the booking proposal, or Kasklaar is posting an approved invoice |
| Failed | The proposal could not be built, or your accounting system refused the invoice |
| Not booked | Invoices you chose not to post |
| Completed | Posted to your accounting system |
| All | Everything together |
